Audits can be either automatically scheduled following completion or can be scheduled manually using the calendar functionality.
TABLE OF CONTENTS
Manually Schedule an Audit
To schedule an Audit manually, click Audit List on the left hand menu, then select Schedule audit.
Select the audit Due date. This is the date by which the audit must have been fully completed, including being authorised.
The audit will automatically show as Pending to the Auditor 7 days prior to this due date.
Next select the Audit name from the list of audits available.
Once you have selected the audit you are scheduling, the details at the top of the screen will up date to list the recurrence settings for the selected audit.
Click Next to continue.
You now need to select which locations need to complete the audit. Select the Location(s) from the list and click Ok.
Your selected Location will now appear in the list below this box. You can continue to select further locations as required. Once you have selected all the required locations, click Next.
The final step in scheduling your audits is to select the Auditor and Authoriser:
- Auditor – The user that will perform the audit and set the required Actions in the Action Plan
- Authoriser – The user that will review and authorise the audit
The Auditor and Authoriser can be the same person or they can be different people.
If you have selected more than one location, at the top of this screen you have the option to quick select an auditor and authoriser using the Same auditor and Same authoriser options.
The names selected in each of these two boxes will filter down and apply to all the locations you have selected.
Alternatively, you can choose different people to be the auditor and authoriser for each audit and location, using the drop downs displayed for each Location selected.
Only users who have the relevant permissions for the selected audit location will appear in these lists to select.
Once all audits have been given an Auditor and an Authoriser, click Complete. The audits will now be displayed in your Audit Schedule calendar view and the Audit List view and will be listed on the dashboard for the user assigned as the Auditor.
Automatically Scheduled Audits
If an audit template has an automatic recurrence set, e.g. it is a monthly audit, the audit will automatically reschedule itself upon completion of the previous audit. (This recurrence is set on the Audit Template and cannot be amended at the point of scheduling an audit.)
How is the next due date calculated?
The automatically rescheduled audit will have a due date calculated from the previous audit's due date. This means that if an audit is set to reschedule monthly, Radar Healthcare will base the due date each month on the initial due date given when the first audit in the series was set up.
For example if the first audit is scheduled with a due date of the 1st January, the automatic reoccurrences there after will be due on the 1st February, 1st March, etc.
Note, the timescale of monthly is purely for example purposes, you can set the timescales you need for your audit schedules.
When does the next audit automatically schedule?
The next audit in an automatic schedule will be created once the previous audit has reached the Action Plan stage, i.e. once all the initial questions have been completed, but he actions and authorisation steps have not yet been completed.
What happens if the previous audit is completed late?
If the previous audit in an automatic schedule is completed late then the next audit will still schedule based on the due date not the completion date.
For example, if an audit is set to take place monthly on the 1st of the month, but January's audit is not completed until the 15th January, February's audit will still schedule for the 1st February.
Where do I set the automatic recurrence period?
This is set on the Audit Template itself. Please see the relevant guidance here:
